Most businesses do not stall because of a lack of effort. They stall because human systems do not scale linearly. More leads create more chaos. More customers create more delays. More revenue creates more financial blind spots.
The next generation of million dollar businesses is not built by hiring faster. It is built by automating the right constraints inside the business using AI. The transcript behind this article outlines four specific automations that repeatedly show up inside high-performing companies that scale past seven figures without growing their teams.
These are not theoretical workflows or experimental tools. These are proven operating systems that replace manual effort with repeatable, measurable execution across the entire customer lifecycle.
Key Takeaways
Million dollar growth is achieved by automating constraints, not by adding employees.
AI-powered outbound systems outperform traditional lead generation by prioritizing personalization at scale.
Automated qualification protects sales capacity and dramatically increases close rates.
Speed to value in onboarding directly reduces churn and increases referrals.
Financial visibility must operate daily, not monthly, to support rapid decision making.

Automation 1: AI-Powered Outbound Messaging That Scales Human Conversations
Outbound messaging is no longer about volume. It is about relevance, timing, and context. Traditional cold outreach fails because it ignores human behavior and attention patterns. AI allows founders to reintroduce human-level personalization without requiring manual effort.
AI outbound systems work because they treat engagement as a signal, not a transaction. Followers, commenters, story viewers, and content engagers are treated as warm opt-ins rather than cold prospects.
A well-designed outbound automation includes:
Lead scoring rules that define what a qualified conversation looks like
Personalized openers that reference real context from a prospect’s profile
AI-assisted reply suggestions that guide conversations toward outcomes
Follow-up sequences that persist without sounding robotic
The outcome is not just more conversations. It is higher quality conversations that convert without overwhelming the founder or sales team.
Cold DMs don't work anymore. Personalized DMs, those ones do.

Automation 3: AI-Driven Delivery and Support That Accelerates Time to Value
Retention is driven by momentum, not promises. Customers stay when they experience progress quickly.
AI delivery automations focus on compressing the time between purchase and first win. They remove delays caused by manual onboarding, inconsistent follow-up, and unclear next steps.
Effective delivery automation includes:
Triggers tied to payment or contract completion
Automatic access provisioning across tools and communities
AI-generated solutions based on a customer’s stated goals
Behavioral monitoring that detects disengagement early
This approach increases retention, drives referrals, and creates expansion opportunities without increasing support headcount.
Clients just don't want access, they want progress.

Automation 4: AI Financial Systems That Eliminate Blind Spots
Most financial problems are visibility problems. When founders only review financials monthly or quarterly, decisions lag behind reality.
AI financial automations operate continuously. They aggregate data, categorize transactions, and surface insights daily.
Core components include:
Automated ingestion of financial data from multiple sources
Workflow-based expense and vendor management
AI-powered analysis that highlights trends and anomalies
Real-time dashboards tied to a single north star metric
This system shifts finance from a reporting function to a decision engine. Founders gain the ability to correct course weekly instead of reacting months later.
Free AI Softwares Founders Can Use to Automate Key Workflows
Free AI software are often enough to validate workflows, remove bottlenecks, and prove ROI before investing in paid tools. Many founders assume automation requires expensive enterprise software, but most systems can be pressure-tested using free or entry-level AI tools first.
Inside companies built and backed through Martell Ventures, early automation is often validated with lightweight tools before anything is fully productized or scaled. The goal is not perfection. The goal is learning where AI removes friction fastest.
Common use cases for free AI softwares include:
Drafting and personalizing outbound messages before automation is deployed
Summarizing sales calls, chats, and customer feedback for faster iteration
Cleaning and standardizing lead data before it enters a CRM
Creating onboarding instructions, scripts, and internal SOPs
Analyzing basic operational or financial data for visibility
These tools help founders design systems intentionally instead of guessing where automation belongs.
List of AI Programs Used to Build Lean, Scalable Operating Systems
A useful list of AI programs is organized around constraints, not categories. Founders who scale efficiently choose AI based on where the business slows down, not what is trending.
Across companies associated with Martell Ventures, AI programs are typically layered into four core areas:
Messaging and sales enablement tools that support human conversations at scale
Qualification and data enrichment tools that protect sales capacity
Internal operations tools that document, summarize, and standardize execution
Financial intelligence tools that surface cash flow, trends, and risk daily
This list of AI programs is not meant to grow endlessly. Each tool must earn its place by removing delay, reducing manual work, or improving decision quality. When used this way, a small, focused AI stack consistently outperforms larger teams relying on manual systems.
Conclusion
Million dollar businesses are no longer defined by team size. They are defined by system quality.
Founders who scale successfully do not work harder. They remove friction at the points where growth breaks. AI makes this possible at a fraction of the cost and time previously required.
The businesses that win over the next decade will not be the ones with the biggest teams. They will be the ones with the cleanest operating systems and the discipline to automate what matters most.
Frequently Asked Questions
Do AI automations completely replace humans?
No. These systems remove repetitive work and decision fatigue, allowing humans to focus on judgment, creativity, and relationships.
Is this approach only for tech or SaaS companies?
No. These automations apply to service businesses, agencies, e-commerce brands, and professional services.
How long does it take to implement these systems?
Most businesses can implement one automation within weeks. Compounding benefits appear as systems are layered over time.
Do these automations require technical expertise?
Modern tools reduce complexity significantly. Strategic design matters more than technical skill.
What is the biggest mistake founders make with AI automation?
Automating noise instead of constraints. The goal is leverage, not activity.

These 4 AI Automations Will Make You $1M (With Zero Employees)
https://www.youtube.com/watch/sDZmLFZ8BkM
00:00:00.000 I’m going to share with you four
00:00:01.280 automations you can use to make a
00:00:03.040 million dollars without hiring any more
00:00:04.799 employees. And no, this is not just some
00:00:07.040 Chad GBT tutorial. These are the actual
00:00:09.280 automations that I’ve used and built
00:00:11.200 into dozens of my companies to be more
00:00:13.120 productive and stay ahead of the
00:00:14.320 competition. So, without further
00:00:15.679 explanation, this is how to automate
00:00:17.279 your business using AI. Automation
00:00:19.279 number one, outbound messaging. This one
00:00:21.840 fixes the I don’t have enough leads
00:00:23.600 problem. You don’t need a louder
00:00:25.199 megaphone. You just need a smarter way
00:00:27.439 to whisper. It’s so funny to me that
00:00:30.080 we’ve forgotten that business isn’t B2B,
00:00:32.880 it’s H to H, human to human. And with
00:00:36.239 AI, you can personalize it to actually
00:00:39.360 interact with people in a very human
00:00:41.040 way. I personally love to be in my DMs,
00:00:43.440 but I have a lot of friends that I’ve
00:00:44.960 taught to use AI to automate the
00:00:47.600 outreach. I have a client that I taught
00:00:49.840 this whole process I’m about to teach
00:00:51.200 with you. And with one single person
00:00:53.920 helping them with conversation in sales,
00:00:56.480 they’re making over a million dollars a
00:00:58.239 year more just by automating the
00:01:00.559 outreach for people that are already
00:01:02.160 following along. Cold DMs don’t work
00:01:04.319 anymore. Personalized DMs, those ones
00:01:06.799 do. So, if you want to do this yourself,
00:01:09.119 this is exactly how to build an AI
00:01:11.200 powered sellby chat automation. First
00:01:13.360 things first, we got to warm up some of
00:01:15.680 these opportunities. The way I think
00:01:17.200 about it is that somebody follows me,
00:01:19.040 that’s just like an opt-in. I should
00:01:20.640 talk to them. Somebody leaves a comment,
00:01:22.560 I should talk to them. Somebody views a
00:01:24.240 story on my Instagram, I should talk to
00:01:25.680 them. With AI, you can be proactive and
00:01:28.320 engage and do it in a way that’s very
00:01:30.400 nice, personal, and helpful, and
00:01:32.640 actually generate real revenue for your
00:01:34.400 business. The first thing you want to do
00:01:36.079 is build a step-by-step process to
00:01:38.640 document what does it mean to actually
00:01:40.240 have a lead? How do you qualify
00:01:41.680 somebody? If somebody follows me and
00:01:43.360 they’re a 97y old man that has two
00:01:45.520 followers, doesn’t have a business, and
00:01:47.119 hasn’t posted anything, probably can’t
00:01:49.600 help them, right? They might just be
00:01:50.799 interested in some of the family content
00:01:52.079 I post. That’s why you have to define
00:01:54.000 what’s called the lead score. When
00:01:55.600 somebody comes in, you say, “This is
00:01:56.880 what an ideal lead looks like.” And you
00:01:58.799 tell it to your team. The cool part is
00:02:00.560 there’s tools out there like get
00:02:02.079 revo.com. That’s what we use that can
00:02:04.320 build this whole process for you so that
00:02:06.079 you can scale up that personal outreach.
00:02:08.080 Number two, you got to make sure that
00:02:09.840 you open those interactions like a real
00:02:12.480 human, not a bot. So, it’s short
00:02:14.800 sentences, minimal punctuation. When
00:02:16.959 you’re chatting with people on social
00:02:18.239 media, act like you’re chatting like a
00:02:20.000 12-year-old. It’s a little bit sent, a
00:02:21.840 little bit sent. If you copy and paste a
00:02:24.239 bunch of text, guess what they’re going
00:02:25.520 to think? This is a bot. This is
00:02:27.120 pre-recorded. This isn’t real. And it’s
00:02:29.360 so funny that if somebody thinks it’s a
00:02:30.879 bot, especially in the world of AI,
00:02:32.319 they’re just not going to engage. A
00:02:33.920 really simple example is if somebody
00:02:35.519 follows you, you could just say, “Hey,
00:02:36.560 Alex, appreciate the following. Peaked
00:02:38.720 at your website. Nice work on the last
00:02:40.640 acquisition. Are you here for the vids?
00:02:42.480 Are you actually looking to try to grow
00:02:43.680 your business?” That’s what I like to
00:02:45.280 do. I like to look at their profile,
00:02:46.959 look where they’re at, mention something
00:02:48.720 specific, and then ask them if they want
00:02:50.319 some help. And then third, I want to use
00:02:52.560 AI chat as a co-pilot to actually help
00:02:55.680 me. That’s why a tool like getreo.com
00:02:58.720 allows you to get suggestions for what
00:03:00.800 you should say when somebody asks
00:03:02.080 questions. See, most people on your team
00:03:03.680 are probably not trained in the process
00:03:05.599 of selling. So, Revio will give you the
00:03:08.159 prompts that are based on what you’ve
00:03:09.840 talked about so far that are specific to
00:03:12.319 that chat message that your team can
00:03:14.480 just look at and use that for
00:03:15.920 inspiration. Even though you still need
00:03:17.760 humans in the chat, you can remove the
00:03:20.080 risk of losing a deal by having a AI
00:03:22.800 co-pilot that helps you automate the
00:03:24.800 sales pipeline process. It’s so cool.
00:03:27.120 It’s like predictive text. You know, on
00:03:28.400 your iPhone when you’re typing
00:03:29.280 something, it recommends a word. It
00:03:30.799 essentially does that. You still need to
00:03:32.400 click and send, but it’ll help you
00:03:34.319 figure out what to say next. And then
00:03:35.920 fourth, and finally, set up the AI
00:03:38.080 automation to sequence follow-ups
00:03:40.480 shamelessly. You want to set up a
00:03:42.400 timeline for how often you follow up
00:03:44.480 because the fortunes are made in the
00:03:46.239 follow-up. You want to make big money on
00:03:48.000 social media, make sure that you’re
00:03:49.599 engaging in a sequence that makes sense.
00:03:51.280 So, I like to use 24 hours if I don’t
00:03:53.280 hear back, 3 days, 7 days, 14 days, 21
00:03:56.720 days. That’s five touch points. Most
00:03:59.360 people give up after two, but do it in a
00:04:01.920 value added way. Don’t be annoying.
00:04:03.840 Don’t be like, “Are you there? Are you
00:04:05.200 there? Are you there?” Actually offer
00:04:07.360 value. Hey, I noticed you posted this.
00:04:09.599 Did you see this? Hey, we’re doing this.
00:04:12.000 Did you want to come? The cool part
00:04:13.280 about using a tool that automates this
00:04:14.959 is that humans will 100% forget to
00:04:17.120 follow up, but AI doesn’t. It can be
00:04:19.519 smart. It can monitor. It can escalate.
00:04:21.918 And it can have your team approve all
00:04:23.680 those follow-ups for you. So, it still
00:04:25.520 has a human in the loop. And look, often
00:04:27.440 times people are like, “But I don’t
00:04:28.960 understand the whole process for selling
00:04:30.960 over chat or social media.” So I want to
00:04:33.040 give you my internal playbook. It’s got
00:04:34.880 everything, the exact flow, the nine
00:04:36.880 steps, exactly how to deal with
00:04:38.479 objections. It is my gift to you, and it
00:04:40.639 is based off of literally selling tens
00:04:42.560 of millions of dollars of software over
00:04:44.639 chat. So if you want a copy, just click
00:04:46.560 the first link in the description below
00:04:47.919 or scan the QR code on the screen. So,
00:04:50.000 now that we’ve created a bunch more
00:04:51.360 leads because you have a lot of people
00:04:52.720 that are following up and calling and
00:04:54.560 your business is getting busy, now we
00:04:56.240 have to fix the qualifying part so we
00:04:58.000 don’t clog up the sales process.
00:04:59.520 Automation number two, the lead capture
00:05:01.840 and qualifying. A chat does not mean
00:05:04.560 it’s a lead. It’s the beginning of a
00:05:06.479 conversation. When I look at the number
00:05:08.000 one constraint across all my companies,
00:05:10.080 it’s usually lead qualifying. All those
00:05:11.919 companies that have gone way past a
00:05:13.520 million dollars are able to automate
00:05:15.520 their lead genen the way I just shared
00:05:16.800 with you and then qualify them using AI.
00:05:19.440 Building a million-doll business doesn’t
00:05:21.520 take a huge team anymore. It takes the
00:05:23.440 right AI automations. So, if you want to
00:05:25.440 capture leads and qualify them using AI,
00:05:28.479 here’s how you do it. The first thing we
00:05:30.080 need to do is choose some kind of AI
00:05:32.000 voice agent to essentially do the call
00:05:34.320 to qualify the potential lead. I use a
00:05:36.400 product called youratlas.com. It’s one
00:05:38.000 of my portfolio companies at Martell
00:05:39.440 Ventures, but it is really cool. You can
00:05:41.520 literally go to their website right now
00:05:43.039 and have it call you to demo it
00:05:44.960 yourself. I’ll have all the tools I
00:05:46.639 mentioned today listed below in the
00:05:48.080 description. So, just expand that and
00:05:49.440 click it to try it out. What Atlas does
00:05:51.440 is that it sits in between the lead
00:05:53.759 capture and the qualifying steps. So, if
00:05:55.680 you have people calling your business,
00:05:57.199 it’ll take those phone calls. If you
00:05:58.960 have people filling out lead capture
00:06:00.560 forms through your ads or your social
00:06:02.240 media or your chat, you’re asking
00:06:03.680 somebody for a phone number to have a
00:06:04.960 call, it can then take that and call
00:06:07.199 them to then ask them qualifying
00:06:09.039 questions to see if they’re even the
00:06:10.800 right fit or ready to buy from you. I
00:06:13.199 remember I was showing this to my
00:06:14.639 father-in-law and I was like, “Hey,
00:06:16.400 check out this new technology we built.”
00:06:18.479 And he’s like, “Well, who’s that lady?”
00:06:19.840 And I said, “Well, that’s AI.” He’s
00:06:21.280 like, “Well, you were talking to her.” I
00:06:22.639 said, “I know. That’s AI.” And it broke
00:06:25.120 his brain. That’s the power of how good
00:06:27.520 it can be. It sounds like a real person
00:06:29.759 asking real questions and then guiding
00:06:31.600 the person to the next step. It may be
00:06:33.120 buying from you or it could be
00:06:34.639 recommending somebody else. You can set
00:06:36.639 it up the way you want to. The next step
00:06:38.319 is you got to give that tool access to
00:06:40.080 your leads so you can automate the whole
00:06:41.840 workflow. So a lot of people have some
00:06:43.840 kind of lead capture tool like a CRM
00:06:45.840 solution like a HubSpot or a Salesforce
00:06:47.759 or go high level. Then the tool should
00:06:50.319 integrate with that. So when the lead
00:06:52.319 comes in and has a phone number, it can
00:06:54.560 actually call them. I remember one time
00:06:56.400 we were doing a bunch of lead generation
00:06:57.840 with ads and the phone numbers weren’t
00:06:59.199 formatted properly and somebody was
00:07:00.960 struggling on the team to try to like
00:07:02.479 figure that out because it wasn’t
00:07:04.000 allowing the dialer where they were
00:07:05.599 calling the automation to actually kick
00:07:07.360 off and they were like I don’t know how
00:07:09.039 we fix the data problem. I’m like hm how
00:07:11.440 about we use AI? So all of a sudden you
00:07:13.759 just took the information that was being
00:07:15.120 submitted sent it over AI. It says using
00:07:17.039 this information reformat the phone
00:07:18.800 number so that it can be called through
00:07:20.240 automation. The AI knew how to do that
00:07:22.400 and then gave us back the phone number
00:07:24.080 with the area code and the country code
00:07:25.840 formatted perfectly so the call would go
00:07:28.160 through every time. AI can solve a lot
00:07:30.400 of your problems. And that’s why you
00:07:32.319 want to give the tool access to your
00:07:34.479 CRM. Third is once you’ve done that, run
00:07:36.960 the automation in tandem with an
00:07:39.280 existing human employee so you can see
00:07:41.520 the results. I would not just set it and
00:07:43.759 forget it. You want to essentially say,
00:07:45.599 okay, for every call that comes in, it’s
00:07:47.199 going to go one’s go to the AI, the
00:07:48.960 other one’s going to go to the person,
00:07:50.160 one’s gonna go to the AI, one’s gonna go
00:07:51.680 to the person, and then you compare the
00:07:53.440 results. Fourth, and finally, make sure
00:07:55.599 to measure your success and tweak as
00:07:57.440 needed. The truth is is AI is so
00:07:59.199 powerful, sometimes the first time you
00:08:01.199 implement it, it doesn’t work exactly
00:08:03.120 the way you want it. So, you will have
00:08:04.720 to tweak it and configure it. This
00:08:06.560 solution is crazy powerful. I remember I
00:08:08.479 had a client that had way too many
00:08:09.759 leads, which is a beautiful problem to
00:08:11.120 have. I think he had like six weeks of
00:08:12.960 his sales calendar absolutely maxed out.
00:08:15.440 And I was like, “Bro, why don’t you just
00:08:17.440 have the AI call and ask one simple
00:08:19.840 question?” The question was, “How much
00:08:21.440 are you spending on Facebook ads per
00:08:22.879 month?” Once the AI could ask that
00:08:25.360 question, figure that out, it could then
00:08:27.440 respond by canceling the call and
00:08:29.360 redirecting the person to a different
00:08:31.120 solution, to different information. It
00:08:32.640 wasn’t a good fit for their company.
00:08:34.719 That freed up those six weeks, brought
00:08:36.399 it down to two, but those two weeks of
00:08:38.240 calls closed at 50%. I would rather have
00:08:40.880 less calls that are actually qualified
00:08:42.719 than just stay really busy talking to
00:08:44.480 people that would never buy from me
00:08:45.839 anyway. So now you’ve got a ton of
00:08:47.440 leads. You’ve qualified them. You’ve
00:08:49.519 sold them. Now we have to deliver with
00:08:51.519 AI. Which brings us to automation number
00:08:53.440 three, delivery and support. Speed is
00:08:55.680 the key in onboarding. If somebody
00:08:57.600 becomes a customer and they buy, I want
00:09:00.000 to get them a result as fast as
00:09:01.839 possible. Clients just don’t want
00:09:03.600 access, they want progress. And AI can
00:09:06.560 help you do that at a record pace. The
00:09:08.800 truth is, if you can get them wins in
00:09:11.279 their life this week, they’ll stick.
00:09:14.000 They’ll refer people. They’ll upgrade
00:09:16.000 within your business and they won’t
00:09:18.160 leave. That’s why you want to use AI to
00:09:20.399 increase the speed to value. It reminds
00:09:22.320 me of a client I was working with that
00:09:23.839 was having a churn issue and we just
00:09:26.000 took the AI and really built a simple
00:09:28.240 automation. He noticed that all the
00:09:30.399 customers that got a win within the
00:09:31.680 first week stuck around for 6 months.
00:09:33.760 The ones that didn’t get a win in the
00:09:35.440 first week, they usually churned after
00:09:37.200 like 30 days. Like 80% of the people
00:09:39.120 left. So all we did is in the
00:09:40.720 onboarding, there was a call that asked
00:09:42.800 them, “What’s the fastest, smallest win
00:09:44.800 we can create for you?” And had them
00:09:46.800 answer it. Then the AI took that answer
00:09:49.279 and actually built the solution to solve
00:09:51.120 that problem to get them value. He
00:09:52.959 automated this whole freaking setup.
00:09:54.800 Within 60 days, turn dropped by half and
00:09:57.440 referrals doubled. Why? Because all the
00:09:59.680 clients felt progress instantly. The
00:10:02.000 faster the customer wins, the longer
00:10:04.240 they stay. So if you want to build this
00:10:06.160 for yourself, here’s how you do it. The
00:10:08.080 first thing is we have to set up a
00:10:09.600 trigger in your onboarding. When a
00:10:11.040 client is signed, it triggers something.
00:10:12.959 Maybe it’s when the payment happens. You
00:10:14.720 can use your automation software to
00:10:16.399 monitor that. The moment that happens,
00:10:18.399 you want to fire a workflow. We use N8N
00:10:22.000 as an automation software, but a lot of
00:10:23.920 people use make.com or Zapier. The
00:10:26.320 second step is you got to give access to
00:10:28.160 your automation software. So it
00:10:29.839 automatically adds them to the right
00:10:31.839 places at the right time. So if the
00:10:33.839 transaction happens in the payment, then
00:10:36.079 you might want to add them to your
00:10:37.440 customer community. You might want to
00:10:38.880 give them access to their project
00:10:40.160 folder. You might even want to send them
00:10:41.920 a calendar link to book in an initial
00:10:43.839 kickoff call with somebody on your team.
00:10:45.600 All of this eliminates all human delay
00:10:48.000 and requires no person involved. The
00:10:50.000 third is you want to get them that
00:10:51.760 instant win. Talk to the customers that
00:10:53.680 love you and just ask them, “What is it
00:10:55.519 about the way we showed up when you
00:10:56.959 first became a customer or things that
00:10:58.720 we’ve done in your life that you found
00:11:00.160 really valuable that you can give us as
00:11:02.399 feedback?” Because if you can get that
00:11:04.240 from them, they’ll tell you what to
00:11:06.399 frontload in that experience. It is so
00:11:08.959 crazy how you can get people wins that
00:11:11.440 look like massive effort today that
00:11:13.600 requires zero of your time. And then the
00:11:16.240 fourth is you use that automation to do
00:11:18.399 what’s called smart nudges. If you think
00:11:20.320 about it, there’s certain steps that you
00:11:22.000 expect your customer to do that if they
00:11:23.600 don’t do would tell you that maybe
00:11:25.440 they’re not engaged. Maybe they haven’t
00:11:27.120 logged into your portal in 72 hours or
00:11:29.440 maybe they haven’t clicked the link to
00:11:30.959 schedule their first call or maybe they
00:11:33.040 haven’t replied to an email. You can use
00:11:35.680 AI to automate and monitor all these
00:11:38.000 things in real time and then send smart
00:11:40.880 personalized nudges using SMS and email,
00:11:44.000 even a phone call to get the person
00:11:46.079 re-engaged. The fifth step is conversion
00:11:48.399 triggers. I like to think about where
00:11:50.320 are the times in a customer experience
00:11:52.720 that I might trigger a message that
00:11:54.720 would get them to upsell or extend or
00:11:57.519 buy more. This one is where you’re going
00:11:59.360 to make a million in your business, no
00:12:01.440 problem. Because it’s easier to sell
00:12:03.440 something to an existing customer than
00:12:05.120 to sell a new customer. So, if you sell
00:12:07.040 a home to somebody, maybe 3 months
00:12:09.680 before they’re ready to move in, you
00:12:11.519 send them an offer talking about lawn
00:12:13.760 care and maintenance. You want to figure
00:12:15.279 out what are the other services that you
00:12:17.040 have that you can help them with. Use AI
00:12:19.440 to look at the timeline and what
00:12:20.880 messages they’ve sent to then properly
00:12:23.200 position that specific offer to them.
00:12:25.519 I’m not talking about just like an
00:12:27.200 automated trigger. I’m literally talking
00:12:29.360 about customized proposals to people at
00:12:32.160 the right time. So now the delivery
00:12:34.160 super smooth, but if you want to make an
00:12:36.320 extra million easily using AI, you need
00:12:38.560 to protect your cash so you can actually
00:12:40.720 get that million to work for you even
00:12:42.639 faster. Which brings us to automation
00:12:44.480 number four, financial system. This one
00:12:47.360 makes me laugh because most pain in
00:12:49.920 business starts by blind spots. Meaning
00:12:52.240 they don’t have all the data. The
00:12:53.920 entrepreneurs is trying to build a
00:12:54.959 business, but they don’t actually know
00:12:56.639 where their money’s going because
00:12:58.000 they’re like running it off the cash in
00:12:59.760 the bank. If you actually want to get to
00:13:01.519 a million of new revenue using AI,
00:13:03.920 you’re going to need to pay attention to
00:13:05.440 your money in a completely different
00:13:06.959 way. My philosophy is that if I can see
00:13:09.040 the flow of cash daily, then I can fix
00:13:11.279 it weekly. If I’m only getting a report
00:13:13.440 once a month, I can maybe fix it every 6
00:13:15.920 weeks. Most people wait till the end of
00:13:18.320 the year to get a report from their
00:13:20.000 accountant and decide to go for a drink.
00:13:21.600 Either drinking because they’re
00:13:22.720 celebrating, they’re drinking because
00:13:23.920 they didn’t have a good year. That is
00:13:25.440 not the way to run a business. In all of
00:13:27.279 my companies at Martell Ventures, we’ve
00:13:29.279 gotten all the financial processes
00:13:31.760 automated, 92%. My head of finance
00:13:34.800 literally spends most of his time in the
00:13:37.279 automation tools building the machine
00:13:39.440 that runs the machine not working in it.
00:13:42.000 I want to talk to you about how you can
00:13:43.839 do this today using AI. See what you
00:13:46.880 measure you can multiply. So if you
00:13:48.800 measure the money you can multiply the
00:13:50.240 money. Most people don’t pay attention
00:13:51.760 to the money and then they wonder why
00:13:53.040 they don’t have more money. So if you
00:13:54.399 want to automate your whole financial
00:13:56.000 system this is what it looks like. The
00:13:57.839 first thing you got to connect connect
00:13:59.680 the financial data. Where is it? Does it
00:14:01.920 sit in your email? Does it sit in SMS?
00:14:04.160 Does it sit in Slack? And what’s cool is
00:14:06.079 you can use the AI to automate this. New
00:14:08.639 vendor comes on board, they fill out a
00:14:10.320 form, and then you could call them using
00:14:12.000 voice AI to then say, “Here’s how we do
00:14:14.480 payments, and here’s how you get
00:14:15.519 expected, and this is where you submit
00:14:16.800 your invoices, and we going to pay on
00:14:18.320 this time, and if you have any
00:14:19.360 questions, you call this number.” And
00:14:20.880 that number is tied to the AI that knows
00:14:22.800 the back-end system that can answer the
00:14:24.240 questions that free up your team’s time.
00:14:26.240 Finance for sure should be the most
00:14:28.079 automated part using AI in every
00:14:30.160 business because it has the most direct
00:14:32.240 rules defined by the accounting people.
00:14:34.720 The second part is to build the
00:14:36.240 automations. And the key is is use the
00:14:38.639 tools that make the most sense. I use
00:14:40.639 naden. It’s a bit more technical, but
00:14:42.639 you can use make.com because it might be
00:14:44.320 a lot simpler for you, but both will do
00:14:46.480 the job. The key is is don’t just solve
00:14:48.399 a problem because it exists. Solve the
00:14:50.320 right problem that’s going to save you
00:14:51.519 the most time. That’s using the theory
00:14:53.199 of constraints. So for example, you want
00:14:56.079 to focus on automating weekly expenses
00:14:58.480 first, not yearly tax reporting. Then
00:15:00.959 third, once we clean up the financial
00:15:02.800 data using AI and get the workflow
00:15:04.639 going, we want to try to find the
00:15:06.560 insights from the data using these AI
00:15:08.959 products. So we use Helloellofrank.AI,
00:15:11.680 which tells us exactly how our money’s
00:15:13.760 flowing through the business. All my
00:15:15.680 clients are using this to get a daily
00:15:17.519 cash email so they can understand their
00:15:19.839 cash position, what’s coming up, what’s
00:15:21.760 spent, what money’s going out. And
00:15:23.440 that’s just one way that they can
00:15:24.880 interact using AI because Frank lets you
00:15:27.199 chat and talk and act like a freaking
00:15:29.199 CFO for a fraction of the cost. The
00:15:31.600 fourth is you want to identify a metric
00:15:33.760 that drives your business and then
00:15:35.600 create a dashboard. Again, many of these
00:15:37.519 tools will do it like databox or
00:15:39.199 precision.co that you monitor in real
00:15:42.399 time. See, using AI, it can do a lot of
00:15:45.040 like analysis and capture and then put
00:15:47.360 it into a dashboard where you’re making
00:15:49.040 decisions based on real information in
00:15:51.519 real time. That’s why AI is changing the
00:15:53.680 game when it comes to financial
00:15:55.199 operations. For example, at Martell
00:15:57.199 Ventures, we have one core metric, okay?
00:15:59.440 It’s our northstar metric, which is
00:16:01.440 dollars deployed to enterprise value
00:16:03.519 created because we build companies and
00:16:06.000 we invest in those companies and we’re
00:16:07.759 trying to increase our enterprise value,
00:16:09.360 which is equity ownership in these
00:16:11.199 technologies. That’s the number. There’s
00:16:13.440 a bunch of other data points that go
00:16:15.440 into that report and we track those, but
00:16:18.160 AI automates the whole thing. So that
00:16:20.240 way my head of finance is not sitting
00:16:21.920 there
00:16:24.399 copy pasting into spreadsheets. Like I
00:16:26.720 know if you’re a financial person, I
00:16:28.160 know what you do. I know you’re on
00:16:29.440 Excel. You’re on a freaking IBM laptop.
00:16:31.440 I don’t know why. And you don’t like to
00:16:32.800 talk to people a whole lot. I know where
00:16:34.240 you live. Truth is, if you do this,
00:16:36.560 making a million in your business will
00:16:38.320 not just be possible, it will be easy. I
00:16:41.680 have dedicated my life to the idea of
00:16:44.079 buying back your time. It’s why I wrote
00:16:45.600 a book on it. AI automation in your
00:16:48.800 business more than anything else I could
00:16:51.040 teach you will allow you to do that
00:16:53.519 instead of you spending all your time in
00:16:55.680 the business doing doing the work. I
00:16:58.079 want you out there with your family with
00:17:00.160 your friends having the time to be
00:17:01.920 creative to solve problems and that is
00:17:03.759 what AI has enabled us to do. Do not
00:17:06.240 sleep on this. These aren’t nice to
00:17:08.400 haves. These are musthaves. Please pick
00:17:10.640 one and dedicate to it. You’ve done
00:17:12.799 harder things. You’ve built the business
00:17:14.480 to this point. Trust me, this is easier
00:17:17.039 than what you’ve gone through. Don’t
00:17:18.880 pretend like it’s harder than it is.
00:17:21.039 Just make a decision today to go allin.
00:17:24.160 And again, as a reminder, if you want
00:17:26.079 access to my internal sell by chat
00:17:28.000 playbook, just click the link below in
00:17:29.679 description or scan the QR code on the
00:17:31.280 screen. Now, those are automations that
00:17:33.039 will make you money. But if you want to
